ChatGPT consultant: what they do and cost in 2026

A ChatGPT consultant is the request that reaches us every week, even though we build most of our work on Claude from Anthropic. ChatGPT already sits in most European offices, often on an employee's private phone instead of a company contract, so the question is rarely whether to use it. People want to know how to set it up so customer data does not end up in the wrong place. We therefore run ChatGPT workshops in the same format as our Claude workshops, from €280 per user for two hours with at least eight people. This article describes what a ChatGPT consultant does, from the ChatGPT Business workspace to a one-page AI policy, and where we point to Claude instead.

What does a ChatGPT consultant do for a European company?

The work rarely starts in the chat box, since most people can already ask ChatGPT a question. What is missing is the structure around it: the right seat type for the right person, an admin who sees who logs in and apps connected to the systems where the files already live. Eurostat counted 20 per cent of EU enterprises using AI in 2025, up from 13.5 per cent a year earlier.¹ Tools arrive faster than structure.

A ChatGPT consultant fills that gap in four parts that run in order: set up the workspace, write the policy, train the team and measure the effect afterwards. The order matters, because a team that gets licences before the policy exists almost always pastes in the wrong things in the first week.

How a ChatGPT consultant sets up ChatGPT Business

The workspace is the foundation, and most admin mistakes happen here because nobody decided who owns the settings before the seats were bought.

ChatGPT Business: workspace, seats and admin

ChatGPT Business needs at least two paid seats, and a Standard seat costs $20 per user per month billed annually or $25 month to month.² A Premium seat with five times the included usage costs $100 annually or $125 monthly, which suits the one or two people who run agents for hours every day.³ We rarely recommend Premium for everyone from the start, since the difference between the seat types seldom shows until someone runs heavy tasks daily.

ChatGPT Business: apps for Google Drive, SharePoint and Slack

Apps let ChatGPT read from Google Drive, SharePoint and Slack, and workspace owners and admins control them under Workspace settings and Apps.⁴ Admins can allow all actions for an app or only read actions, which is the one place where the company sees which sources are actually open. Start with read access and grant write actions only after the team has shown for two weeks that it understands what gets written back. SharePoint still needs a Microsoft admin's approval.⁴

What should the AI policy contain?

The AI policy fits on one page and answers four questions before the first account is handed out. It lists which tasks may run in ChatGPT and gives concrete examples of what counts as customer data or a trade secret. Equally important are the name of the person who owns the question when something is unclear and the plan the company actually has. Every user signs the policy before the licence goes live, so the start becomes an act rather than an email lost in somebody's inbox.

Is ChatGPT GDPR compliant for a European company?

The answer depends on the plan and on what goes in. The owner of a ChatGPT Business workspace can choose Europe, meaning the EEA plus Switzerland, for content at rest, although OpenAI rolls the option out gradually and keeps abuse-monitoring copies in the US, while Enterprise and Edu add inference residency on top.⁵ GDPR asks for a legal basis for each kind of processing, data processing terms with the supplier and a lawful route for any transfer of personal data outside the EU.⁶ The transfer assessment still matters on Business, because the abuse-monitoring copy leaves the EU even when Europe is the chosen storage region.

OpenAI keeps training on customer data off by default on its business plans, which is the first thing most IT leads ask about and the one that matters least in practice.⁷ The question that matters most is who in the company decides that customer names and personal identification numbers stay out until someone has read the data processing terms. Two customer cases: what was built and what a human still does

Both cases below were built in Claude for our own customers, although the method is the same on ChatGPT Business. Each tool now runs multi-step tasks against uploaded files.

An accounting firm spent three hours every Friday on a report, because someone pulled figures out of three systems by hand before the summary could even start. The agent we built pulls the figures overnight and the report now takes five minutes. A person still checks every line before it goes to the client, because one wrong figure costs more trust than the agent saves in time.

Sales staff at an online retailer spent five to ten hours on every quote, and today the draft is ready after thirty seconds, which freed around twenty hours a week for the team. The sales rep still reads the draft and sets the final price, because a quote with the wrong margin costs far more than thirty seconds.

How to prepare your own ChatGPT rollout

Go through these points before you speak to a ChatGPT consultant, so the first meeting starts with facts instead of general talk.

• Count the private accounts. A company of twenty with zero company seats usually has eight to ten people already using ChatGPT privately, and those are the people the contract should cover first.
• List the three tasks that eat the most time. Write each one as a sentence, for example "the Friday report takes three hours because the figures come from three systems by hand".
• Set one number to measure. Hours per week before the start is the simplest, because the same number later shows whether the rollout had an effect.
• Name an owner for the AI policy. That is the person who answers when someone wonders whether a customer name may go in.

Measure the number of runs that needed correcting before the result could be passed on, not how fast the first version arrived. That figure decides whether a task can really be handed over.

When do we recommend Claude instead of ChatGPT?

A ChatGPT consultant's job includes saying plainly when another tool fits better, and there is one clear break point.

Claude Cowork: files on your own computer

Claude Cowork reads and writes files in folders on your own computer through the desktop app, which has to stay open while a task uses those local files.⁸ ChatGPT Business reaches what already sits in a connected cloud service such as Google Drive or SharePoint. A company whose key material lives in local folders or on a shared server without cloud sync gets further with Claude. Google Workspace companies usually do better with ChatGPT Business.
